This Privacy Policy describes what data the ICF Bot collects, why it is collected, how it is stored, and what rights you have as a user of the Israeli Combined Forces Discord server.
1. Who We Are
The Israeli Combined Forces (ICF) is a gaming clan community organized around the Arma 3 simulation game. We operate a Discord server and an associated Discord bot ("ICF Bot") to manage server operations, community features, and clan logistics.

2. Data We Collect

2.2 Optionally Provided Data (User-Initiated)

2.3 Ticket and Recruitment Channel Data
When you open a support ticket or are processed through the clan recruitment flow, the following is stored:
- Ticket transcripts: When a ticket channel is closed, all messages in that channel (author username, message content, timestamps, and any attachment URLs) are saved as a transcript in a private staff log channel.
- Recruitment channel ID: If you were referred to the server through the ICF website's recruitment system, your Discord username and a dedicated private channel ID are sent to the ICF website.
Important: Ticket transcripts may contain personal information you voluntarily share during a support conversation. Please do not share sensitive personal data (e.g., real-world address, phone number) in tickets.
2.4 Data We Do NOT Collect
- We do not read or store the content of regular chat messages (only the count is incremented).
- We do not collect email addresses, phone numbers, payment information, or any off-platform personal data.
- We do not track voice conversations or record audio.
- We do not monitor your activity on external platforms.
- We do not store your IP address.
3. Social Media Monitoring
The ICF Bot monitors the clan's own public social media accounts to post update notifications in the server. No user data is involved in this process.

These integrations only access the ICF clan's own accounts. They do not collect any data about individual Discord members.
4. Emergency Alert System (Pikud Ha'oref)
The bot uses publicly available Israeli Home Front Command (Pikud Ha'oref) data to provide real-time rocket and emergency alerts to the server. This feature:
- Fetches publicly available alert data (city names, alert type, instructions).
- Displays a map image to show affected areas.
- Does not collect any personal data; it only presents public civil defence information.
5. How We Use Your Data
We use the data described above for the following purposes only:
- Server Management: Moderator tools such as
/lookup,/warn,/kick,/ban, and/timeoutrely on stored IDs and counts to make accurate moderation decisions. - Community Features: Message counts and invite counts are displayed on-demand by moderators to understand server activity.
- Personalisation: Birthday data is used to send a celebratory announcement and temporarily update your server nickname on your birthday.
- Welcome Experience: Your avatar is fetched to generate a custom welcome image posted in the welcome channel when you join.
- Ticket Resolution: Transcripts are kept so staff can review resolved support requests and ensure accountability.
- Recruitment Logistics: Your username and a channel ID are shared with the ICF website solely to coordinate your clan intake process.
We do not use your data for advertising, profiling, or any commercial purpose.
6. Data Storage and Retention
- Database: All bot data (message counts, warnings, invites, birthdays) is stored securely on the server hosting the ICF Bot.
- Ticket Transcripts: Saved inside a private staff channel. They are retained indefinitely unless an administrator manually deletes them.
Data is retained for as long as you are a member of the server, or until you request deletion (see Section 8). If you leave the server, your records remain stored unless you request removal.
7. Data Sharing and Disclosure
We do not sell, rent, or trade your personal data to any third party.
Your data may be accessed or shared in the following limited circumstances:
- ICF Clan Administration: Server owners and designated staff can run the
/lookupcommand, which displays your Discord profile, join date, message count, warning count, invite count, and current timeout status. - ICF Website: Your Discord username and a recruitment channel ID are shared with the ICF clan website for recruitment coordination only.
- Discord Inc.: By using Discord, your data is also subject to Discord's Privacy Policy. The ICF Bot operates within Discord's platform and API terms.
- Legal Requirements: We may disclose data if required by applicable law or to respond to legitimate legal process.
8. Your Rights
You have the following rights regarding your data held by the ICF Bot:

Note: Because the ICF Bot is a community-run project and not a commercial service, we do not have a formal Data Protection Officer (DPO). Contact the clan leadership via the server's administrative ticket system for all privacy requests.
9. Children's Privacy
This bot and server are intended for users who meet Discord's minimum age requirement (13 years old, or the minimum age in your country if higher). We do not knowingly collect data from users below this age. If you believe a minor has submitted personal data (such as a birthday), please contact server staff immediately.
10. Third-Party Services
The ICF Bot integrates with the following third-party services. Their own privacy policies govern the data they handle:

11. Security
We take reasonable technical measures to protect stored data, including:
- Sensitive credentials are kept private and are never exposed publicly or shared.
- Stored data is kept on the hosting server and is not exposed to the public internet.
However, no system is completely secure. By using the server, you acknowledge that data transmission and storage carry inherent risk.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, the "Last Updated" date at the top of this document will change. Significant changes will be announced in the ICF Discord server. Continued use of the server after changes are posted constitutes acceptance of the revised policy.
